Connect a mailbox

Collect invoice PDF attachments from an IMAP mailbox, choose a folder, and adjust the history period.

What this connection reads

Mailbox collection looks for invoice-like PDF attachments in one IMAP folder. It uses the message subject and attachment filename to identify likely invoices, then saves the PDF, sender, subject, and extracted invoice fields.

The catalog includes Gmail, Outlook / Microsoft 365, iCloud Mail, Fastmail, and a generic IMAP option. A preset supplies the server details; successful connection still depends on your provider allowing password or app-password IMAP access. OAuth-only mailboxes are not supported by this connector.

Connect a folder

  1. Open Suppliers, choose Connect a source, then your mailbox provider.
  2. Enter the mailbox address and the password or app password your provider allows for IMAP.
  3. Choose the folder to scan. Leaving it blank uses INBOX.
  4. For a generic mailbox, supply its IMAP host and TLS port 993.
  5. Save the connection, then choose Sync.

The mailbox password is encrypted before storage and decrypted on the server for collection. The connection uses TLS. See Privacy and security for how messages and credentials are processed.

Choose the history period

Settings → Workspace has a Mailbox history setting from 1 to 365 days. Mailbox syncs use that rolling period. This is separate from Vercel’s historical starting month.

A sync examines up to the latest 200 messages in the chosen period. A busy folder can leave older messages outside that batch. For a large archive, collect from a dedicated invoice folder; this connector does not provide a resumable import of the entire mailbox.

If a PDF is missing

  • Check that the message is in the connected folder and within the history period.
  • The message must contain a PDF attachment with an invoice-like filename or subject. A download link in an email is not an attachment.
  • Images, spreadsheets, and scans embedded in the email body are not collected as invoices.
  • Individual PDFs are limited to 20 MiB. Large syncs may need a shorter period or a smaller dedicated folder.
  • If authentication fails, confirm that your mailbox supports this sign-in method and that the app password remains valid.
