Workspace and team

Invite teammates, manage owner, member, and viewer access, and keep workspace choices organized.

One place for settings

Settings is a row of tabs, in this order:

  • Company: your company details and your workspace’s own forwarding address, which collects forwarded invoices.
  • Account: your password, and signing out here or on every other device.
  • Organize: departments, projects and your own category, which suppliers and invoices are sorted by.
  • Members: an invitation line (email and access) and the people with access, including external accountants and pending invitations.
  • API, Advanced rules and Audit log, the three deeper pages, sit at the end of the same row.

API keys and the MCP guide have their own page, API and MCP, in the menu at the bottom of the sidebar under Account, and the built-in facts about well-known services have theirs, Advanced rules, right below it (how rules work).

Your company

Under Company in Settings, the workspace owner enters the company as it is printed on your invoices: legal name, company ID (VAT or registration number), country, address and your email domains. The time zone, used for sync and arrival times, follows the country. kvitr uses these details to tell your own company apart from suppliers on collected invoices. When your team forwards an invoice from one of your email domains, kvitr looks for the real supplier instead of filing it under you. Members and viewers see the details but cannot change them. The details are stored encrypted.

Invite a teammate

  1. As the owner, open Members in Settings.
  2. Under Invite, enter your teammate’s email address and choose Member or Viewer in the Access list beside it.
  3. Choose Create invitation link, copy the link that appears beneath, and share it with your teammate.
  4. Your teammate signs in with the invited, verified email and accepts the invitation.

Choose the right access

Owner
Manages workspace settings and members, and can collect, review, and organize invoices.
Member
Manages invoices, supplier classifications, and integrations. Cannot manage membership or company choices.
Viewer
Views invoices, suppliers, and reports, and downloads PDFs. Cannot change workspace data.

Manage invitations and members

Invitation links expire after seven days. Creating another invitation for the same email replaces its previous link. The owner can revoke a pending invitation or remove a member from Members in Settings.

Removing membership stops future access to the workspace. It cannot withdraw PDFs someone has already downloaded. Current workspaces support up to 100 members.

Cost teams and member access are separate. Assigning a supplier to Marketing or Engineering does not restrict which workspace members can view it.

Work with several clients as an accountant

Create your own account (choose I’m an accountant with several clients during setup, or open the accountant sign-up). Each client invites your email from Members in Settings as a viewer or member.

Clients lists every workspace you belong to with this month’s invoice count, invoices that still need review, and totals per currency. Choose Open to switch to that client. Clients also appears for anyone who belongs to more than one workspace.

See who did what

Audit log in Settings lists what happened in the workspace, newest first: who opened an invoice, downloaded a PDF or an archive, saved or approved fields, filed an invoice, changed a supplier, connected, renamed or disconnected a source, started a collection, invited, added or removed a member, created or revoked an API key, and changed the company details, the forwarding address, the settings or the Organize choices. Each row says when, who (a person by the name they had then, or an API key by its name), what, which record, and the address the request came from.

The workspace owner reads the log; members and viewers do not see it. Rows are kept for 400 days, then removed. Names and addresses in the log are stored encrypted like the rest of the workspace. The log records what kvitr did on someone’s request; automatic collection by a connected source does not appear as a person’s action.

Keep your account secure

Change your password under Account in Settings. Changing the password also signs out your other sessions. Use Sign out other devices to revoke them without changing your password.

Workspace switching changes which invoices you work with. It does not move invoices between organizations. Each connection and its collected invoices remain in their workspace.
